Personal Assistant Function

  • Compose, prepare and type correspondence, presentations, reports.
  • Maintain the Chief Officer’s and Executives diary by scheduling appointments and booking meeting venues.
  • Establish appointment priorities and reschedule appointments accordingly.
  • Receive and process incoming and outgoing mail.
  • Prepare agendas or programs and refreshments for meetings.
  • Anticipate and prepare material needed by the Chief Officer and Executives for conferences, correspondences, appointments, meetings etc. and inform him / her of matters to be considered.
  • Note commitments made by Chief Officer and Executives during meetings and arrange for implementation / follow up on commitment.
  • Take minutes of meeting and distribute accordingly only in the absence of the company secretary or when required to do so.
  • Sort and distribute mail, incoming faxes and information accordingly.
  • Make travel and accommodation arrangements for the Chief Officer, and Executives / divisions as required.
  • Organise business itineraries, conferences and social functions.
  • Answer telephones, screen calls, relay messages and direct visitors.
  • Ensure, in the Chief Officer’s and Executives absence, that requests or action and information are furnished in a timely manner.
  • Assess the urgency and importance of situations and take appropriate action.
  • Answer telephones, screen calls, relay messages and direct visitors.
  • Assist with staff and visitor queries.

Office Organization

  • Ensure an adequate amount of office supplies are kept.
  • Operate and maintain office equipment e.g. computer, photo-copier, fax, shredder etc.
  • Complete request forms for office supplies and equipment.

Data Base and Documentation Management

  • Create and maintain all hard and electronic files.
  • Eliminate outdated or unnecessary documents by destroying them or transferring them to inactive storage.
  • Track all documentation.
  • Raise oracle requisitions.
  • Modify and improve filing systems or recommend and implement new filing systems.
  • Receive documents for Chief Office’s and Executives signature and ensure they are collected or sent to respective parties.

Internal and External Communication

  • Maintain communication between Cell C inter departments, Executive’s, regions and external parties.
  • Assist and refer queries.

Health and Safety Compliance

  • Conform and adhere to Safety, Health and Environmental legislative requirements.
  • Report any health and safety concerns/incidents in the workplace to the manager / health and safety representative.

Perform any other related duties as requested by Company Secretary

Attend the Safety, Health and Environmental workshops as required by management.

Educational Requirements
Secretarial Certificate/Diploma
Skills and Experience
8 + years secretarial experience at EXCO level.
Computer Literacy: MS Suite of packages.
Power Point – advanced

Excel – advanced
